Automated Event Reminder Setup for Club Members and Staff

This document provides a step-by-step process to automate reminders for events or appointments, ensuring seamless communication with club staff members and prospects. By setting up these configurations once, notifications will be sent automatically according to your preferences.


Step 1


To effectively communicate event or scheduled reminders to club staff and prospects, begin by setting up a configuration that enables these reminders. Once configured, the reminders will be sent automatically.

Navigate to the automation section and create an automation. After doing so, select the type of event you want to set the reminder for, such as appointments.

Alternatively, you can set reminders for class bookings. In this example, we will proceed with an appointment reminder. To send a reminder to members or prospects, navigate to the client section and add a client action.

Select the desired communication method—email, text message, WhatsApp, or push notifications. For this example, choose email. Then, specify if the reminder should be sent, for instance, two hours prior. You can also select a pre-designed template with customizations.

For this example, type your message directly into the system. Similarly, if you want to send a reminder to the club staff, select staff actions and choose the method of communication—email, SMS, or WhatsApp, among others.

Once again, select email and specify the timing, for instance, 120 minutes or two hours before the event. This configuration ensures that reminders are sent to members, prospects, and club staff efficiently.
