Configuring Service Agreements


This guide provides detailed instructions on how to configure different agreements for various service types, such as memberships and personal training. By following these steps, you will learn how to create, customize, and map agreements to specific service categories, ensuring they trigger appropriately when a client purchases a service.


Step 1


Begin by navigating to the admin section and clicking on the 'Waivers' section. Here, you will find various waiver templates that have been configured for different service types.

In this section, you can view the terms and conditions agreement, the personal training waiver, and the guest membership waiver.

Each of these waivers has a distinct type. By selecting the personal training waiver, you can assign it a name. Save your changes, and then edit it with the editor. This allows you to create versions in different languages as required.

Certain countries may require agreements in multiple languages. You can configure the waiver to include primary or secondary languages accordingly. This waiver specifically pertains to personal training terms and conditions.

Once the agreement template is created, proceed to the rate card section under 'Plans.' Here, navigate to the 'Managed Service Category.' This is where you map the service category to the appropriate agreement or waiver template. For instance, a personal training waiver is linked to the personal training service category.

Opening this section will reveal the personal training waiver selected from the list. This configuration ensures that purchasing a personal training plan, session pack, or recurring membership will initiate the waiver or agreement.

Now that configurations are in place, access the 'Active Clients' section. Open a client's profile, such as Jeremy Hayes, and review the 'Subscriptions' tab to see an active membership.

Within the 'Attachments' section, you'll find the configured waiver, which in this case, is a general membership agreement and release. Now, assume the client is ready to purchase a personal training pack.

Navigate to 'Subscriptions and Add-ons.' In the pop-up window, select 'Personal Training.' For this example, choose a paid-in-full session pack for personal training, although you could also opt for a recurring plan.

Select the start date, for instance, Tuesday, and assign a trainer. The cost is $1,000. You can proceed with an online payment or record an offline payment method if safeguards are not enabled.

Record the offline payment, noting "$1,000 collected via cash." This action sends a link to Jeremy, prompting them to sign the agreement. For demonstration, open the link in a new tab to view the process.

This part of the process involves signing the agreement. After purchasing the personal training plan sessions, click 'Proceed' to view the personal training waiver and release agreement configured earlier.

Sign and confirm the agreement, then proceed. The process confirms the transaction. Finally, return to Jeremy's profile on the 'Active Clients' page.

Reopen Jeremy's profile and navigate to the 'Subscriptions' tab. Here, you will see the new addition of a personal training 10-session plan alongside the existing membership.

All 10 sessions are available as they were just purchased. The invoice is attached. By accessing the 'Attachments,' you can now see two agreements: the general waiver and the new personal training session agreement, complete with details, client signature, and terms specific to the purchase.

This process demonstrates how to configure an agreement that is linked to a service category. When a client purchases a personal training pack, the system initiates the personal training agreement, connecting it to the client profile and plan.
