Profile Search and Duplicate Prevention Guide
This document provides a detailed process for searching and managing profiles within our software system. The system is designed to prevent the creation of duplicate profiles by leveraging centralized data access across different centers. The following steps will guide you through the process of searching for a member's profile using their contact number or name.
Step 1
Begin by searching for the member's profile using their contact number or name within the company’s database. This step is crucial, especially when a member visits for the first time, to ensure that no duplicate profiles are created.

Step 2
Conduct a search using the contact number to access the member's profile. The software is programmed to prevent the creation of duplicate profiles, which is why we recommend always searching by contact number first.

Step 3
If the profile has not been created with the provided contact number, the system will indicate that there are no existing profiles under the selected club or any other centers using the same number.

Step 4
If you choose to search by the member's name, the system will display any profiles associated with that name. It will also indicate "One Result found" if a matching profile exists.

Step 5
Click on the profile to view detailed information. If members have already been registered in other centers, those profiles will also be accessible for review.

Step 6
The software being centralized allows a single profile to be utilized across multiple centers. If a profile exists in another center, such as West 92nd Street, it will still be accessible from any location, including Flatiron.

Step 7
If a member from another center visits a new location, such as Flatiron, and wants to review the rate card or purchase a membership, the software will prevent the creation of duplicate profiles. Simply search by name or contact number to access the existing profile.
