Assigning Default Contacts and Owners in Fitness Force

In this document, we will explore the process of assigning default support contacts, such as a coach or sales representative, to clients, prospects, or members within Fitness Force. This involves designating a client representative, a sales owner, and, in the case of personal training, a session owner.


Step 1


Begin by understanding the role of a default support contact, or client representative, within Fitness Force. This individual is assigned to manage client interactions, serving as the primary point of contact.

Each client has a designated client representative who is accountable for client management. Additionally, sales activities or memberships can be assigned to a specific salesperson, known as the sales owner. This includes all memberships, such as personal training, which can be managed by a dedicated person.

In cases like coaching or personal training, a session owner is assigned as the default trainer. This ensures each client has a dedicated trainer for their sessions.

To begin, access the sales pipeline and open an existing member's profile.

Upon opening the profile, you will see the assigned client representative. If changes are required, you can reassign this role individually or in bulk through the reports section, especially during staff changes.

Navigate to the subscription section. If adding personal training, select 'Add Subscription' and choose the appropriate package, such as 'PT one month, 12 sessions.' Here, the sales representative can be designated.

Initially, the client representative or logged-in user is preselected as the sales representative. This can be modified to another individual, like Heba, for example. You can then proceed with making the payment either online, via an integrated POS terminal, or as an offline payment.

For demonstration purposes, record the payment as an offline transaction. Input the amount, such as 6300.43, and complete the payment process.

Return to the member's profile and navigate to the subscription section. You will notice the new subscription attached. Open the subscription to assign a session owner, who will serve as the trainer. Assign Segor Ramos as the trainer for this member.

Assigning a session owner affects workflows, such as when a member books an appointment via the mobile app. If no trainer is assigned, members select a trainer from available options. However, with an assigned trainer, the system preselects the trainer, and availability is limited to that trainer.

Different appointment services may require varied configurations. Personal training links directly to a trainer, displaying only their availability. Other services may utilize a pool of trainers, offering broader availability options.
