Freezing Personal Training Memberships_ Step-by-Step Guide

This document outlines the process of freezing a personal training membership. Before proceeding, ensure that the membership plan or rate supports freezing. Follow these steps to configure, manage, and apply the freeze to the membership.


Step 1


To begin the process of freezing a personal training agreement, confirm that the membership plan has freezing enabled during its creation. This should be done before billing the member. The freezing option must be visible and updated in the plan settings.

Next, access the rate card, which includes various membership details such as paid-in-full and contract-based memberships. Locate the specific personal training membership that needs to be frozen.

Identify the specific membership plan intended for freezing. Review the plan details to confirm freezing options.

Open any applicable plans to check if they meet the freezing requirements.

Within the Advanced Settings, locate the freezing configuration. Here, you can define how many freezing attempts are permitted within a calendar year or membership period. Specify any limitations related to duration, such as a six-month membership.

Configure the maximum and minimum days allowed for freezing within the settings. Ensure these parameters are set correctly.

After configuration and billing, navigate to Client Management and select "Freeze." You can initiate the freeze from the member's profile by searching and opening their subscription details.

Select the "Freeze" option under the Client Management tab. Here, create the freeze resource client. Once chosen, it will display eligible memberships for freezing.

Review the personal training membership details, including the number of remaining attempts and any previous freezing history. Examine the membership package name and the freeze's start and end dates.

Select the personal training membership for freezing. A pop-up will appear, prompting you to decide whether to cancel any appointments scheduled during the freeze period. Choose to cancel appointments and classes if needed.

Select the appropriate radio button and specify the date range for the freeze. Provide a reason for the freeze, such as travel or vacation.

For instance, if the reason is travel, input "traveling" and click Apply to confirm the freeze.

Once applied, the freeze will be reflected in the freeze list, showing the scheduled personal training freeze.

You can also view the freeze information within the client's profile under transactions. The freeze status will be displayed here.
