Subscription Plan Creation and Management Guide

This document provides a comprehensive overview of how to create and manage subscription plans within our system. By following these steps, you will learn how to set up a new plan, configure billing cycles, and make necessary modifications to existing plans. This ensures a streamlined billing process with minimal manual intervention.


Step 1


Begin by navigating to the Settings page and then accessing the Plan Creation page. Here, you will see a list of all existing plans.

To create a new plan, click the Create button. There are three types of subscriptions available: Pay As You Go, which has no end date, Contract, which includes a contract term, and Paid in Full, where payment is collected upfront.

For this example, select the Contract option, which requires specifying a contract term.

Provide a name for the plan and select the billing frequency, such as monthly or weekly. For instance, if billing occurs every month, select "month" and "every one."

If the billing frequency is biweekly, select "week" and "two." For this example, choose a monthly billing frequency. If the plan includes any sign-up charges, you can specify them here.

Next, choose a billing cycle option. You can make multiple selections, but for a fixed cycle on the first of every month, select "one." Then, assign a term to the contract.

For a 12-month contract, specify the term as 12. Upon contract expiration, decide whether the subscription should convert to Pay As You Go, expire, or renew for another term.

If you wish to convert to Pay As You Go upon expiration, select that option. Next, add the service you are selling, such as a membership. Set a price, apply taxes if applicable, and define eligibility criteria.

Eligibility criteria determine access to the service. For example, it may convert a buyer to a member, be available only to members, or be open to both members and prospects. Select "converts to a member" for this plan.

After adding the base membership, you can bundle additional services, such as nutrition consultations or personal training sessions. For instance, offer a nutrition service at no extra cost and include a complimentary session for members.

The nutrition service will now be bundled with the plan. In the advanced settings, you can configure deposit options, determine whether they apply automatically or manually, and set conditions for cancellation or staff discretion.

Further advanced settings allow you to limit freezes per calendar year, specify upgrade-eligible days, or set a minimum transfer wait period. These settings can be customized according to plan requirements.

Once all configurations are complete, save the plan. The system will manage billing automatically according to the defined cadence, requiring no further manual follow-up.

To edit a plan, access the plan list screen and select the plan you wish to modify.

Update any aspects of the billing cycle, billing frequency, or services as needed. Modify advanced settings if necessary, and save the changes once complete.
