Configuring and Managing Classes and Appointments in Fitness Software

This document outlines the process of differentiating between appointments and classes within a fitness management system. It also provides a detailed guide on how to configure, schedule, and book both appointments and classes, ensuring an efficient and organized experience for all users.


Step 1


Begin by exploring the differences between appointments and classes. Navigate to the admin section, and from there, access the fitness calendar to view these elements.

Switch to the weekly view of the calendar. Here, you will find a personal training appointment. Click on it to view its details, including the appointment with the specific trainer.

Observe the class section, which displays a different interface. It includes information such as booked, checked in, canceled, wait list, and no-show statuses. This example is with Trainer Brett, and there are currently no bookings.

Understand the fundamental differences between classes and appointments. Behaviorally, appointments involve one member with one trainer.

In contrast, classes involve one trainer with multiple members. Both require configuration as either appointments or classes to track sessions, bookings, and attendance.

Now, proceed to the configurations to further explore the appointment settings.

Within the appointments section, open the one-on-one personal training appointment. Configure the session pack, specifying which trainers can conduct this appointment.

Create and save the master configuration for this type of personal training, which requires a session pack.

Ensure that personal training is included in the service category. The membership type, whether recurring or PT, is irrelevant as long as it specifies personal training. Then, proceed to the class section.

In the class section, configure classes such as pilates by creating a session pack and selecting the appropriate service category. This allows tracking of the number of sessions conducted.

Differentiate between classes and appointments with configurations such as daily class limits and drop-in plans. Review these elements within the fitness calendar.

To book an appointment, go to the booking section, search for a member, select a trainer, choose a date and time, and finalize the appointment creation.

The system validates whether the member has the necessary personal training pack or membership. If not, an error will be displayed. Note that classes operate differently.

Classes require a schedule before booking members. Open a class to see current bookings and add additional members.

If a member lacks the required pack or membership, booking may be restricted. Multiple members can be booked and checked in as necessary.
